Managing Time Off Requests
An easy to use system for staff to enter and edit their time off requests and an even easier system for administrators to collect, organize, and approve these requests. Versaschedule's time off request priority system provides an equitable system to grant requests for popular days.
How do time off requests work?
Employers can set up deadlines to collect requests from staff for any period of time. For example, if you want to solicit request for the month of December, you can create a
create a new "Request Date Range" from 12/1-12/31 and set an opening date and end date to allow requests to be submitted. During this time, staff can enter and edit their requests. Once the
deadline for requests has passed, no additional changes can be made by staff. However, the administrator can alway make additional changes, if necessary.
Creating time off types
Every company has different types of time off requests, so Versaschedule allows you to create as many as you need such as "Vacation", "Sick Leave", "Sabattical", etc... Each type of request
is handled separately.
After Versaschedule finishes the schedule, you'll see a preview of it. If it looks good, click on "Save Schedule". After saving this schedule, you
can edit and make any adjustments that you need. During this time, your new schedule is unpublished and only visible to Administrators with access.
How to approve time off requests?
When you open your schedule, you'll see a row titled "Time Off" -- all requests funnel directly into the schedule to enable you to view the requests
in context of the schedule. You can easily approve or deny requests by simply clicking on the requests to toggle their status from pending to approved to denied. Priority values are
displayed as superscripts in the top left corner of each icon and are automatically sorted in order from the highest priority at the top to the lowest at the bottom of each cell.

Filtering time off requests in the schedule
Display only the approved, pending, or denied requests on your schedule by clicking the buttons to toggle each type of request on and off.
Which requests should I approve?
This is always a difficult decision, but if you use Versaschedule's priority system, you will know which requests are the most important to each your
employees. Some companies will approve all requests, but others can only approve a limited number of staff per day. Suppose your schedule only allows
3 staff off each day. In that case, you can generally approve the top three requests each day, but make sure to pay attention to requests that span more than
one day.
What happens if everyone is request #1 priority for a particular day such as a Holiday or Spring Break? Usually we recommend that you identify those staff
and have them draw straws or work it out amongst themselves.
